Supervises:  NA

Job Summary:  The Tracking Coordinator is responsible for the day to day tracking of all customers loads with RJ Logistics’ Drivers and all Partner Carriers loads which have been given to them by the Fleet Coordinator/Load Planners. 

Quality Responsibilities

  • Confirm that each RJ Logistics’ driver and Partner Carrier has an adequate understanding of all customer and company expectations on each load at the point of dispatch including but not limited to; 1. Confirmation of assignment, 2. In at shipper (P/U), 3. Out at shipper, 4. BOL provided by Driver and Partner Carriers with Loaded and Rolling time, 5. All check call requirements, 6. In at Consignee (Receiver), 7. Out at Consignee, 8. Final POD acquired by RJ Logistics’ Driver or Partner Carrier.
  • Address all issues that arise during the tracking process with manager as well as operations team in order to meet and/or exceed customers’ expectations.
  • You must be proactive in tracking, problem resolutions to every customer need. Consulting with customers on any tracking or issues as they arise.
  • Be able to identify and evaluate any special tracking needs or requirements for each load and customer.
  • Updating customer websites in a timely manner to ensure customer metrics are up to date and RJ Logistics does not receive service failures.
  • Dispatch software needs to be updated throughout the day as the tracking process happens.  Accurate data must be entered to ensure proper tracking of equipment, driver pay accuracy, and invoice accuracy.
  • PCS, Shared Drive, Microsoft 365 One Drive, or any other reporting assigned must be updated in a timely manner.
  • Manage email and phone calls in a timely manner. 
  • Excellent time-management skills and the ability to work in high-pressure and fast-paced situations.
  • Build positive relationships with drivers and customers to best maximize retention levels, increase on-time delivery percentages, and achieve top-tier customer service.
  • Resolve all driver conflicts, problems and requests with respect to matters such as home time, pay, equipment maintenance, load assignments, and safety.
  • Adhere to policies and procedures by keeping pricing and other information pertaining to customer rates confidential. 

Essential Responsibilities

  • Partner with other members of the Operations Team to address all operational issues and/or opportunities to hit target revenue and efficiency goals.
  • Assists in key decisions pertaining to Customer Service, Planning, and Driver Relations.
  • Provides recommendations to management pertaining to operations, safety, scope of services, technology, or any other aspect of the job that may contribute to the overall growth and success of the company.

  • Participate in meetings as required
  • Interaction with multiple departments as required
  • Perform additional tasks as requested by management
